Support that feels
effortless.
rapidFOX brings requests, company records and team conversations together in one uncluttered screen. Reply to the customer, leave an internal note or ask your team – all from one field, with shared team knowledge as one of the things it is built around.
Built for support teams in fields like
Ask your team – without leaving the ticket.
Right inside the ticket you ask an internal question – of one person or of the whole team. The answers land on the ticket itself. Nobody switches tools, and no knowledge is lost.
- Ask one particular personWhoever knows gets the question – with an @ mention.
- Or the whole teamSeveral heads, several answers – that is the shared knowledge.
- Becomes lasting knowledgeGood answers flow into the knowledge base.
AI that stays in Germany.
Draft replies in seconds, turn a few keywords into a whole email, build knowledge as you go – with an AI that runs entirely on your own server. Ticket content is never sent to an external AI service.
-
Text in secondsImprove a reply, shorten it, make it friendlier – or write the whole thing from a few keywords.
-
Knowledge builds upSuggestions from your team’s knowledge and wiki articles written automatically from solved tickets.
-
Fully in your handsOn or off whenever you like – globally, per company, per function. A person approves.
Processed on your own server.
No OpenAI, no US provider, no third party.
Runs on premises, on your own hardware.
The AI only suggests; a person approves.
Every ticket you close counts – visible as it happens.
Close a ticket on your phone and the numbers update at once: completion rate, resolution time and results per week – always honest, always current.
Everything good support needs – in one place
From the first request to the solution. Click a card for a preview.
Dashboard with key figures
Start every day with a clear picture: the numbers that matter are large, clickable tiles. One click filters the list – your team can see in seconds what needs doing first.
- Every tile doubles as a quick filter
- Overdue tickets are impossible to miss
- "My tickets" shows each person exactly their own work
Email becomes a ticket
Connect your support mailbox over IMAP/SMTP – entirely from the settings screen. Every incoming message becomes a ticket, attachments and all, and your replies land back in the same mailbox. The loop closes by itself.
- Mailbox connected in minutes – one per company if you like
- Replies are matched to the right ticket by reference
- Automatic acknowledgement sent to the customer
Replies, notes and team questions
One clear composer instead of three tools. Pull colleagues straight onto the ticket – their answers stay there as an internal conversation, with who said what and when.
- One box for replies, notes and team questions
- A confirmation step before anything reaches the customer
- Knowledge stays on the ticket instead of in chat threads
"Hello, please reconnect the printer once – it should then be detected again. Do get in touch if anything still does not work."
Local AI assistant
The fox thinks along: it turns a few notes into a full reply, tightens or improves your wording, and condenses a long thread into seconds of reading. The model runs on your own hardware – your data never leaves the building. The AI only ever suggests; a human approves (human in the loop).
- Draft replies and rewrites right inside the ticket
- Long threads summarised into a single paragraph
- Local model – GDPR-compliant, switch it off any time
Master search & "Ask the Fox"
One keystroke finds any ticket – by subject, reference, company, contact, message text, even the words inside a scanned attachment (OCR). Prefer to ask? Then ask: "Do we have a ticket for BMW?" – the fox looks in your real data and shows you the ticket along with the answer.
- Instant search across everything with Cmd/Ctrl + K
- "Ask the Fox" answers questions in plain language
- Finds text inside photos, scans and PDFs (OCR)
Mentions & live bell
Pull a colleague onto a ticket with an @ mention. The bell updates live, announces itself with a quiet chime, and opens a side panel where you acknowledge or reply on the spot.
- Live updates without reloading, with a discreet chime
- Answer team questions straight from the bell
- Get told when someone changes your ticket
Companies as a tree view
Tickets land with the right company on their own. In the tree view you expand any company and see every ticket – grouped by year, with status and due date.
- Sorted automatically by the sender's email domain
- Expandable tree: company, year, tickets
- Full-text search across companies and tickets
Kanban board with drag & drop
See your team's workload like a pinboard: real ticket cards with a tear-off edge and a status colour, dragged from column to column. "In progress" and "Done" carry a hand-set stamp, and no two cards sit quite the same way. Drop a ticket on "Done" and the confetti cannon goes off – in the archive the card gets tied up with parcel string. The serious part stays visible throughout: priority and SLA are printed on every card.
- Drag cards between columns – they snap cleanly into place
- Hand-set stamps (In progress / Done / Archive), every card its own
- Confetti on completion, parcel string in the archive – priority and SLA always in view
Small projects & checklists
Some requests are small projects. Add a checklist right in the ticket: the people responsible maintain the items, the whole team ticks them off. A progress bar travels from red to green, each item shows with an avatar who finished it, and the ticket history records it. Sub-items are there when you need them.
- Items and sub-items right in the ticket history
- Everyone can tick off – only the owners change the list
- Progress bar and "done by" at a glance
Searchable attachments (OCR)
Screenshots, logs, invoices – stored safely with the ticket and made fully searchable by automatic text recognition (OCR). You can find a ticket by a number that appears only in a photo. The preview opens inside the ticket.
- Text recognition makes photos, scans and PDFs searchable
- Attachments stay attached to the ticket for good
- Preview inside the ticket – no need to leave the context
Only you and the people you share it with can see this ticket. In no list, in no search.
Personal tickets
Some matters are not the whole team's business. Mark a ticket "personal" and only you can see it – plus exactly the people you add by name. It appears in no other list and in no search. You can switch it back to normal whenever you like.
- Only the owner and named people can see the ticket
- Hidden from every list, search and report
- Granted per person as a permission, reversible at any time
AI agents in the background
Two quiet helpers work with you. The "Early Bird" puts a briefing on your dashboard each morning – what is new, what is burning, what comes back today. The "Watcher" reads incoming customer messages, notices when someone is annoyed and raises the priority automatically, so nobody slips through.
- Morning briefing straight onto the dashboard
- Sentiment detection lifts unhappy tickets to the top
- Runs locally in the background – off at any time
Internal chat & calls
Need a quick word? Message a colleague inside rapidFOX, or start an audio or video call with screen sharing in one click – it even rings at the other end. You can see who is online, all in the same place as your tickets.
- One-to-one and group chat with presence
- Audio and video calls with screen sharing in one click
- No extra tool – conversations stay next to the work
Merge tickets
When a customer writes twice, you bundle both requests in one click. History, messages and attachments move into the target ticket – one clean thread instead of doing the work twice.
- Merge several tickets in seconds
- History and attachments are carried over
- The source is archived, nothing is lost
Waiting status & SLA
Put a ticket on follow-up and it comes back on its own. Response and resolution deadlines show as a traffic light – a breach stands out immediately, before the customer has to ask.
- Follow-up with an automatic return date
- Traffic light for first response and resolution
- Overdue tickets highlighted in red
Reports & analytics
See in black and white how well your team is doing: incoming against cleared, clearance rate, average resolution time and SLA rate. Every solved ticket updates the figures in real time – with no flattering arithmetic.
- Ticket balance: received, cleared, rate
- Average resolution time and SLA rate at a glance
- Completion calendar – counted honestly by the day it arrived
Onboarding & help
rapidFOX explains itself: new staff are walked through step by step, and every function carries plain help right where it is used. The interface is clear enough that formal training is usually not needed.
- A guided onboarding tour for new users
- Help centre and in-context tips inside the app
- Self-explanatory – productive without training
Knowledge base
Good solutions should not evaporate. Keep them as wiki articles – next time a similar case comes in, the AI offers the matching article right inside the ticket and helps keep it current. New colleagues are useful from day one.
- Save solutions as articles and reuse them
- The AI suggests matching articles inside the ticket
- The team answers faster and more consistently
Time tracking & billing
Record what a ticket actually costs – by timer or by hand, right where you are working. Mark time as billable and export a clean summary at the end of the month: exactly what you need to raise the invoice.
- Time per ticket, by timer or entered by hand
- Billable time clearly marked as such
- Monthly summary exported for invoicing
Status of your requestCustomer portal
Fewer "any news?" emails: your customers open the current state of their request through a secure signed link – no account, no password. They watch the progress themselves, and you field fewer questions.
- A secure status link per ticket – no login
- Customers can see the progress whenever they like
- Fewer follow-up questions, more transparency
Subscription & billing
Transparent billing per booked seat, payable by card (Stripe) or PayPal. Invoices and seats are managed straight from the settings.
- 19 € net per seat and month, cancel monthly
- Stripe and PayPal built in
- Invoices with every legally required detail
Embeddable contact form
One line of code on your website is enough: visitors write to you through a clean, styled form, and every submission arrives in rapidFOX as a ticket – with contact and company matched automatically. Spam protection is already built in through a honeypot field, a timing check and a domain block list, with no CAPTCHA to annoy anyone.
- One snippet – a finished, styled form on your site
- Every submission becomes a ticket automatically
- Spam protection built in, without a CAPTCHA
Working teams
As you grow, separation starts to matter. Assign people to teams and each team sees only its own tickets. Tickets without a team stay visible to everyone, and administrators see everything. Any team can have its own mailbox – mail sent there lands with the right team, and replies go back out from the team address.
- Members per team – visibility cleanly separated
- A team mailbox: mail arrives with the right team directly
- Assign with one tap – on the web and in the app

Common questions
What does rapidFOX cost?
rapidFOX Pro costs €19.00 net per user and month (plus VAT) – no set-up fee, no minimum term. It is sold to businesses. You pay for the team size you actually need.
How does per-user billing work?
When you sign up you choose how many users (seats) you need. The monthly price is simply the number of users × €19.00. Every seat is a full account with every feature.
Can I add users later?
Yes, at any time. In the user settings you add seats with one click, and the new accounts are available immediately.
Is support really free?
Yes. Support is included in every plan: help by email from a person, a help centre inside the app, and regular updates at no extra cost.
How long is the trial and what is included?
You get 7 days completely free, with no card. The trial account arrives already filled with sample data – companies, a team and tickets – so you can see how it feels straight away.
Is my data safe and GDPR compliant?
Every workspace is strictly separated from every other. Export and deletion functions for data subject rights are built in, so you can answer a request yourself, in minutes.
Which AI does rapidFOX use, and is it GDPR compliant?
rapidFOX uses a local AI that runs on its own server (via Ollama). Ticket content is processed on that machine and never sent to an external AI provider – not to OpenAI, not to anyone else. That is what makes an AI assistant workable under the GDPR.
What can the AI do?
It drafts replies to customers, improves or shortens what you wrote, turns a few keywords into a whole answer, suggests matching solutions from your knowledge base and keeps the wiki up to date by itself. It only ever suggests – a person approves. You can switch it on or off globally, per company and per function.
Is there a kanban board?
Yes. Alongside the list and company views, rapidFOX has a visual kanban board: tickets appear as cards in the columns Overview, In progress, On hold and Done. Drag a card to the next column with your finger or the mouse and the status changes by itself – your team’s workload at a glance, like a pinboard.
Can I cancel monthly?
Yes. The subscription runs month to month and can be ended at the close of any billing period. No long contract.
Can I run rapidFOX on my own server?
Yes – with the Enterprise plan we install rapidFOX on premises on your own hardware, including your own domain with SSL, individual SLAs, onboarding and training.
Where is my data stored?
In Germany. rapidFOX runs GDPR compliant, with servers in Germany, strict separation between workspaces and a data processing agreement.
Is rapidFOX an alternative to Zendesk, Freshdesk or Zammad?
Yes. rapidFOX is the lean, fairly priced, GDPR-compliant alternative from Europe: every help desk feature that matters, support from people who built it, servers in Germany – and an AI that stays on your own machine.
Ready to tidy up your support?
Set up in two minutes, free for 7 days – with sample data, so you see straight away how it feels. No card, nothing to cancel.
